Warranty and service are two different promises
Suppliers blur these two on purpose. Keep them apart on paper.
A warranty is a defect promise with an end date: if a covered part fails inside the covered window, the seller repairs or replaces it and absorbs the cost. Service is the relationship that outlives the warranty. Diagnostics, spare parts, calibration checks, a training refresher when your best operator leaves, and someone who picks up when a salon running back-to-back sessions on a Saturday has a dead handpiece. One of those is a liability. The other is a supply chain, and it should carry a price and a set of service terms rather than a smile.
Regulators separate them as well. The US Food and Drug Administration distinguishes servicing a finished device from remanufacturing it, and defines remanufacturing as processing, conditioning, renovating, repackaging, restoring, or any other act done to a finished device that significantly changes its performance or safety specifications, or its intended use. That definition sits at 21 CFR 820.3(w). Routine repair, calibration and like-for-like part replacement sit on the servicing side of that line. A local workshop rebuilding your handpiece around a lamp of unknown origin can end up on the other side, with your compliance file attached.
What the console warranty covers, and what gets called a consumable
Two clocks, not one
Buyers ask about length first. How long does the cover run? There isn't one clock. The console and its boards carry one term, and the handpiece is quoted on its own separate line, normally for a shorter period, because it takes the heat, the cable flexing and the knocks that a boxed console never sees. Consumables carry no term at all: a part with a rated life cannot fail early by being used up. So you are comparing three things between two suppliers, not one figure. Console term, handpiece term, and the consumable price list sitting behind both. We issue those numbers per configuration in the quotation rather than publishing them, because destination country, duty cycle and whether a distributor holds local stock all move them. If a quotation shows a single warranty length and no separate handpiece line, that gap is the first thing to raise.
Ask for the split as a list of parts. Not as a paragraph of goodwill. The table below is how it actually falls on a flashlamp platform, taken from the maintenance and operation manuals in our engineering archive rather than from a brochure.

Lamp life, the shot counter, and the number you can check yourself
The flashlamp decides your running cost, so the counting rules matter more than the headline warranty length.
Our device manuals rate the xenon flashlamp in an E-Light handpiece at about 60,000 shots, and they are blunt about what happens well before that. Hair removal runs the highest settings, and the manual says it stops delivering a good result at around 30,000 shots. The field fix is to raise the energy, which works, and which spends the remaining life faster. Past 60,000 the lamp and its related parts go back to the factory, not to a screwdriver in your treatment room.
Hamamatsu, which builds xenon flash lamps for a living, defines lamp life as the point at which output between 190 and 1100 nm has fallen to 50 percent of its initial level, or output fluctuation exceeds specification. Life is a slope, not a cliff. The same source notes that the larger the energy per flash, the shorter the life, which is why a hair-removal room and a photofacial room wear the same lamp at different speeds.
So how do you read the shot counter without calling anyone? Step 1, power up and open the operating screen; on our E-Light platform the display carries a counter for each function, a total counter for the whole machine, and a session counter that clears itself when you switch off. Step 2, photograph the machine total and the handpiece reading at acceptance, before the first client. Step 3, log the total monthly, so you can see the slope rather than discover it. On our Q-switched platform the same idea appears as a total that runs from 0 to 9,999,999 shots with a session line beneath it that returns to zero at the next power-up.
Now the uncomfortable part. On that E-Light platform both totals can be cleared from the setup menu by entering a code. A demo unit or a second-hand machine can therefore show you a counter that means nothing at all. Ask who holds the code, ask for the reading to be written onto the packing list at factory acceptance, and treat any refusal as an answer.
There is a clinical edge to this, not just a commercial one. A lamp halfway down its output curve tempts operators to wind fluence up, and on Fitzpatrick IV to VI that raises the risk of burns and post-inflammatory hyperpigmentation. Patch test again after any lamp or handpiece replacement and treat a repaired machine as a new machine. A pigmented lesion that looks atypical needs a clinician's diagnosis, and sometimes a biopsy, before any light touches it. This page is educational material for equipment buyers, not medical advice.
Freight, response windows and the time zone you actually bought
Two questions decide whether a warranty is worth its paper. Who pays freight, in both directions. And what the word response means.
Freight first. Name an Incoterms 2020 rule for warranty shipments inside the contract, because the rules allocate cost and risk explicitly and gather all costs of a given rule at article A9 and B9. Under EXW the buyer carries almost everything from the seller's premises onward. Under DAP the seller carries cost and risk to the named destination, ready for unloading. A free replacement handpiece EXW Beijing is not a free handpiece, and a warranty return that you ship at your own cost, insured, with customs paperwork, is a bill dressed as a courtesy.
Response time is defined as the interval between your ticket and a human reply. Resolution time is the interval between your ticket and a working machine. Suppliers quote the first and buyers hear the second. Write both, and write what happens when the second one slips.
Then check the clock. Beijing runs at UTC+8 with no daylight saving, and our own service and support commitments are stated in Beijing business hours. Against London that leaves roughly two overlapping working hours per day. Against the US west coast it leaves none at all. That is not a scandal, it is arithmetic, and the fix is to name the out-of-hours escalation route in writing: a messaging thread, a named engineer, and a video diagnostic slot booked for your morning rather than theirs.
Spare parts: the shelf, the lead time and the superseded model
Some parts should never be air-freighted in an emergency, because they cost less than the freight. Put these on a local shelf on day one:
- Fuses of the exact rating, plus a spare power cord
- A key switch and an emergency stop switch, same type
- Cored and non-cored water filters, at least three cycles' worth
- Distilled or purified water and enough cooling gel for a busy month
- Spare sealing caps for the refill and overflow ports, which are lost, not broken
- A second treatment handpiece if your room cannot go dark for a week
Lead times behave as categories rather than as promises, and any supplier quoting one number for all parts is guessing. Small electrical items ship with the next courier consignment. Handpieces and lamps are built and tested, so they follow a production cycle, not a warehouse pick. Model-specific boards are the slow tail, because they are made in batches for a generation of machines. Ask for the lead time bracket per category in the contract, and ask what the supplier does when the bracket is missed.
The superseded model is the clause buyers forget. Every platform gets replaced eventually, including the MF-05 IPL and RF platform and everything else in our current range. Ask for a stated parts-availability period counted from the end of production of your model, a written last-time-buy offer before the line closes, and a commitment that the shot counter, filters and lamp remain orderable for that whole period.
The clauses to write into the purchase agreement
Copy these, adapt the numbers your supplier agrees to, and get them into the contract rather than the email thread.
- Coverage split. A parts list stating which items are warranted and which are consumable exclusions, in the format of the table above.
- Warranty term and start date. Two terms written separately, one for the console and boards and one for the handpiece, with no term claimed over consumables. Term starts at commissioning or at a fixed number of days after arrival, whichever comes first, so shipping delays do not eat your cover.
- Labour. Whether warranty labour is included, and whose labour: yours, a local engineer's, or the factory's.
- Freight both ways. The named Incoterms 2020 rule for warranty inbound and outbound shipments, plus who insures and who clears customs.
- Response and resolution. Response time in stated business hours, resolution target, escalation contact, and the remedy if resolution slips.
- Loan or advance replacement. Whether a handpiece is shipped before the failed one arrives back, and what deposit that requires.
- Shot counter integrity. Counter reading recorded at factory acceptance and on the packing list, and disclosure of who can reset it.
- Consumable pricing. A price list for lamp, handpiece, filters and gel valid for a stated period, so the razor-and-blades trap is priced in advance.
- Parts availability after discontinuation. A stated period, with a last-time-buy right.
- Service records. The supplier issues a service report for every intervention, listing parts replaced and output checks performed.
That last one is your side of the bargain too. UK regulator guidance on lasers and intense light source systems asks operators to keep a record of planned and unplanned maintenance, including the date of the last and next planned service and who to contact about faults, to run a fault log per device, and to sit a quality assurance programme on top of manufacturer servicing: daily or weekly checks by the authorised user, and deeper checks once or twice a year by the manufacturer or a qualified specialist. Warranty claims are won by whoever kept the log.
Some things genuinely cannot be published, and honest suppliers say so. Warranty length, freight terms, response windows, consumable pricing and parts-availability periods all move with configuration, destination country, order size and whether a distributor holds local stock. Anyone quoting one universal figure on a web page for all of that is quoting a marketing number. Ask for yours in the quotation, in writing, against your configuration.
So get it now, while you still have a deposit they want. Request a written warranty and service schedule for your configuration, and put three things in the message: the model you are quoting, the destination country, and the shot volume you expect per month. Those three decide the handpiece term, the freight rule that makes sense both ways, and the shelf stock worth shipping with the machine. A schedule written against your own numbers beats any figure published on a web page, including ours.
Frequently asked questions
Does an IPL machine warranty cover the lamp?
Almost never, and that is defensible. A xenon flashlamp is a wear item with a rated life, around 60,000 shots on our E-Light platform, and it degrades gradually rather than failing outright. What the warranty should cover is a lamp that fails early and abnormally, for example a cracked lamp or quartz tube found after a handpiece water leak. Write that distinction in, with a minimum shot count below which a failed lamp is treated as a defect.
Can I service the machine myself without voiding the warranty?
Partly. Our manuals expect the owner to handle cleaning, water changes, filter swaps and simple fault isolation under a technician's direction, and to leave the rest to authorised personnel. Fuses, cords, key switches and emergency stops are local jobs. Handpiece internals, lamps and water tanks are factory work. Work that significantly changes the device's performance or safety specifications, or its intended use, stops being servicing and becomes remanufacturing under the FDA definition at 21 CFR 820.3(w). Routine repair, calibration and like-for-like part replacement stay on the servicing side of that line, so an authorised board swap does not drag you into remanufacturing territory.
How do I check the shot counter on a used machine?
Power it up and read the machine total, the per-function counter and the handpiece reading, then photograph all three. Compare them against the seller's claimed history and against the lamp's rated life. Remember that the totals on this platform can be cleared with a setup code, so a low reading on an old machine proves nothing on its own. Ask for the original acceptance record and the service reports.
What spare parts lead time should I expect?
Expect a range by category rather than a single figure. Small electrical parts move with the next consignment, handpieces and lamps follow a build and test cycle, and model-specific control boards run on batch production. Rather than chasing a promised number, negotiate a bracket per category, a defined escalation when it is missed, and a local shelf stock of the cheap items so the slow tail never stops a treatment list.
